Job Description


  • Documents all Association financial transactions with support of external accounting firm as required
  • Generates invoices and sales receipts for customer transactions
  • Tracks Member and Affiliate Fee payments; monitors and follows up on accounts receivable
  • Enters vendor bills/invoices and prepares cheque payments for signature
  • Prepares monthly reconciliations (bank and credit card) and financial reports
  • Responds to customer and vendor inquiries
  • Prepares annual financial audit materials and coordinates the process onsite auditors


Administration/Customer Service:

  • Oversees general office administration including mail, courier, filing, office supplies, phone system administration, and reception
  • Responds to general member inquiries
  • Manages Maximizer CRM software and Microsoft Outlook contact lists
  • Distributes meeting information, materials, and/or invitations for various Committees and Networking Groups
  • Proofs membership communication materials including newsletters, marketing materials and other publications 
  • Works collaboratively to assist President, In-House Legal Counsel and Member Services Manager with various projects


Event Planning/Marketing:

  • Represents and markets PMAC in a highly professional manner to members, prospective members and sponsors at meetings, events and in daily communication
  • Assists in the organization of 15+ yearly events and monthly committee and Board meetings including registration management, catering, name badge preparation, and material preparation/collation and printing
  • Prepares membership surveys measuring event impact and membership satisfaction using survey software tool
  • Assists with Journalism Awards submission process and tracking/collation


Web Content Management/IT Support:

  • Ongoing website management of online content using WordPress
  • Assists member firms with set up of website profiles and orientation to website tools and resources
  • May manage transition to new software tools and other technology transition initiatives


  • University degree (preference for Commerce or Business preferred)
  • Completion of 2 accounting courses
  • Strong quantitative/analytical skills
  • Excellent written and verbal communications skills and computer skills
  • Advanced Microsoft Excel, PowerPoint & Word; experience with QuickBooks an asset
  • Experience with WordPress or related website management tool an asset.
