Job Description:

  • Review, evaluate and implement new administrative procedures
  • Establish work priorities and ensure procedures are followed and deadlines are met. Co-ordinate, assign and review work of the clinic
  • Carry out administrative activities of establishment
  • Administer policies and procedures related to the release of records in processing requests under government access to information and privacy legislation
  • Coordinate and plan for office services such as accommodation, relocation, equipment, supplies, forms, disposal of assets, parking, maintenance and security services. Fill order supplies and ensure smooth operation of equipment
  • Assist in the preparation of operating budget and maintain inventory and budgetary controls
  • Assemble data and prepare periodic and special reports, manuals and correspondence; Prepare reports to the Ministry of Health
  • Oversee and coordinate office administrative procedures
  • Delegate work to office support staff
  • Conduct analyses and oversee administrative operations related to budgeting, contracting and project planning and management processes
  • Administer employee file and record to ensure payment, benefits and deductions.
  • Review quarterly the annual budget.
  • Assist in  developing marketing initiatives and operating plans
  • Contact people (clients and suppliers) as needed
  • Conduct company analysis, customer analysis, competitor analysis

 

Requirements:

- Education: Completion of high school is required

- Experience: Minimum 1 year of experience in a clerical or secretarial position related to office administration is usually required

- A university degree or college diploma in business or public administration is an asset

- Working experience in assisting in the preparation of operating budget and maintain inventory and budgetary controls is required

- Knowledge of the Abel Medical Program is an asset

- Criminal record check is an asset

- Able to maintain confidentiality and exercise discretion

- Good written/oral communication skills is required

 

 

Salary: $23.00 to $25.00 hourly – 37.5 hours per week

 

Benefits: Extended medical insurance and dental insurance are provided.

 

Important Information:

Flexibility on schedule is required. Shifts are within the opening hours of the clinic, from 8:30am to 4:00pm on Tuesday, Wednesday and Friday, and from 8:30am to 6:00pm on Monday and Thursday. The position requires working 37.5 hours per week from Monday to Friday but it may request to work after hours if certain tasks are to be completed.
