Job Description

The National Events Manager is a critical role that will develop expertise within the National team through the implementation of best practices that deliver exceptional events in support of our members. The National Events Manager will be responsible for partnering with National staff colleagues and internal stakeholders, including our provincial and territorial Institutes and volunteers to develop and implement events, conferences and meetings including sourcing, contract negotiation, vendor management, reconciliation and ongoing support.

We are looking for a highly motivated individual ready to work in a challenging environment and ready to take part in a growing profession:

  • Responsible for the development and alignment of event management strategy to overall SCMA business priorities and brand objectives
  • Responsible for ensuring events are perceived in a positive light, add value to our members and provide engaging experiences for our customers
  • Responsible for the management of events, conferences and meetings. This includes, but is not limited to: negotiating supplier/vendor contracts; event theme design; brand integration; logistical details as appropriate for each event
  • On-site meeting management for events, including, but not limited to, our National Conference and Gala Awards Ceremony
  • Develop and coach the Event Coordinator by providing direction, inspiration, appropriate incentives, resources and effective communication to maximize event management and execution capabilities to ensure best practices are always key
  • Build positive relationships with internal departments by demonstrating competence and creativity in managing event requirements
  • Utilize your network to negotiate best rates and conditions for all event related venues, suppliers, vendors and materials
  • Strategize and advise internal colleagues in objective setting, budget and execution of planned events, conferences and/or meetings
  • Liaise with other internal partners and external suppliers to ensure consistent and coordinated functions and schedules
  • Communicate with colleagues & external suppliers in a skilled and professional manner
  • Manage all supplier activity during events, including, but not limited to, branding, premiums, event related video production, staging, facility staff and audio-visual production
  • Use your experience to problem solve as necessary to ensure effective event execution
  • Keep current on industry news and trends
  • Prepare and deliver post-event analysis reports and analyze data to make decisions and to effectively communicate results
  • Provide focus and clarity in establishing staff and volunteer goals, driving performance management, supporting career development and rewarding strong performance
  • Ensure events are implemented on time, within budget and meet expectations; manage budget leveraging cash, barter and promotional passes to ensure the most effective mix
  • Positively contribute to the National and Institute team with insights and strategic points of view, including sharing your professional knowledge and ideas with provincial and territorial staff and volunteers to help collaborate for success across our national association
  • Develop and oversee relationships with colleagues, agencies and suppliers
  • Minimum 5 years of work experience in corporate meeting/event planning
  • Excellent communications and writing skills
  • Initiative and self-reliance with the ability to function autonomously
  • Creativity, curiosity, and ability to work on own initiative and meet deadlines
  • Flexibility, initiative, teamwork & cooperation & relationship building
  • Knowledge of Request for Proposal (RFP) procedures and Banquet Event Orders (BEO)
  • Must have experience collaborating, both with internal colleagues and volunteer committees, to develop event content, source and acquire speakers, and plan marketing and sales activities
  • Must possess exceptional organization, negotiation, problem-solving, crisis management and customer service skills
  • Event design knowledge and experience a preferred asset
  • Strong knowledge of computer applications required in advanced event planning
  • Experience supervising staff and engaging and collaborating with volunteers across Canada is a preferred asset
  • Based on equal qualifications, preference will be given to bilingual candidates
