Status:             Full time


Location:         10 King Street East, Suite 1100, Toronto, Ontario


Reports to:      Membership Manager



Position Description


The incumbent coordinates administrative membership activities under the supervision of the Membership Manager with member related projects.  He/she must be well organized, responsible, highly motivated, efficient, detail-oriented, creative, flexible and personable with the ability to coordinate a variety of responsibilities. He/she must have a positive client service orientation.

Duties and Responsibilities


Membership operations

  • Process new prospect profiles and follow up to obtain additional information as required
  • Process new membership applications and follow up to obtain additional information as required
  • Coordinate dues billing, prepare regular renewal notices/e-mails, distribute them on a timely basis and follow up regarding collections
  • Process renewal payments on a daily basis
  • Send prospect packages to active non-members as needed
  • Post on Social Media
  • Monitor, maintain accurate records and re-stock all membership materials
  • Respond to e-mails/calls from members and prospective members or forward to appropriate department when needed
  • Make courtesy welcome telephone calls to new members
  • Ensure member requests (phone; e-mail) are completed accurately and on time
  • Execute Member recruitment, engagement and retention plans developed with Membership Manager
  • Review and update communications material for membership recruitment and retention.


Database related activities

  • Assist in the coordination of mailings, e-blasts, faxes for CSAE marketing campaigns
  • Update database information based on returned mail and bounce back e-mail
  • Update member and prospect records as needed
  • Contact members to obtain updates/changes to their records
  • Assist in database maintenance
  • Activate membership transfers and update database
  • Prepare lists and manage mailings, e-blasts, faxes for CSAE marketing
  • Prepare lists for external users



Duties Connected with Member Recruitment

  • Manage and developpersonal contacts to grow the CSAE membership
  • Follow upon leads, requests for information, etc. made by direct contact withprospects
  • Research needs of specificprospects and match member services and benefits



  • Prepare ad hoc reports as required


Job Requirements

  • Strong customer service skills – verbal and written
  • Accuracy and attention to detail
  • Excellent planning and organizational skills with the ability to manage multiple tasks
  • Ability to establish priorities and work under pressure to meet deadlines
  • Self-motivated with the ability to consistently show initiative
  • Comfortable in a fast-paced environment
  • Knowledgeable about database and other membership management software desired


Technical skills

  • Proficient PC skills: Microsoft Office: Excel, Word, Outlook
  • Experience with database is an asset
  • Experience with membership or customer databases
  • Strong written and verbal communication in formal and informal settings
  • Bilingualism (English/French) is an asset


Experience Required

  • Grade 12 or College degree
  • The candidate should have two years’ experience in a customer-focussed role and proven track record of data entry responsibilities
  • She/he should function effectively in a professional office environment.
  • Experience in a membership based organization is an asset.
