Job Description

This position is mainly responsible for the coordination of all Association Events, By-laws, Policies, MLS Rules & Policies, Education and Board of Directors/Executive Officer duties.

By-laws, Policies, MLS Rules & Policies


Prepare any By-law amendments for General Memberships meetings (3 column) and any policy amendments for Director’s Meetings


Amend and print revisions of By-laws, all Policies, MLS Rules & Policies, Codes, etc. and upload to REALTOR Link


Ensure yearly requirements are met for legislated policies (i.e. Health & Safety WSIB, Workplace Harassment and Accessibility Policies)


Risk Management/Disaster Plan



Event Management


Provide planning and administrative support for Association events. Manage the negotiation of contracts for entertainment, speakers, event facilities and annual caterers for all Association events, monitoring event budgets and coordinate DRAR events.

Research venues

Write content for engaging communications materials for each event

Set up events on the Association management system to enable online registration

Coordinate services (e.g., accommodation for participants, catering, signage, displays, and audiovisual equipment)

Assist in planning entertainment for Membership meetings and social events

Assist with the development of sponsorship opportunities

Prepare invitations and name badges

Process registrations and payments

Maintain attendee spreadsheets

Develop event surveys and analyze results

Assist with set-up, hosting and tear down activities

Attend events, as needed

Coordinate a large industry tradeshow.

Commercial Network


Act as staff liaison to Commercial Network Committee - attend all Committee meetings, preparing Agenda and Minutes


Coordinate 3-4 Commercial Network breakfast meetings a year.


Board of Directors/Executive Officer


Prepare Board of Director’s online agenda packages under direction from the Executive Officer


Attend and record minutes of Board of Directors meetings and keep official Board Minute records up to date


Maintain complete confidentiality


Assistant to Executive Officer


Assist the Executive Officer in day to day work


Assist with conference travel arrangements & itineraries


Annual Election Process


Assist the Executive Officer in preparing for the Election of Directors each year or as required




Prepare agendas for Education meetings in conjunction with the Executive Officer and record and distribute minutes


Coordinate sessions (facility, trainer, course material)


Charity Auction Committee


Research background on possible Charitable Recipients




Publish Volunteer Application Forms
