Marketing and Communications Coordinator

The Advocates’ Society is a not-for-profit association with over 5,600 members from the bench and litigation bar across Canada. We advocate to the government and the courts on issues that impact the profession and access to justice. We are Canada’s leading provider of advocacy skills training and promote a civil bar by keeping our members connected with collegial events, mentoring and various publications.

As we grow across Canada, so does our team. We are looking for an energetic and creative Marketing and Communications Coordinator to join our dynamic and busy Marketing and Membership department. The Marketing and Communications Coordinator is responsible for assisting with the Society's marketing campaigns, social media, advertising sales and member publications. This position requires a creative, sharp and motivated individual, with strong organizational skills, social media experience and Adobe suite training, who is interested in being involved in all aspects of sales and marketing, from concept to delivery. A natural entrepreneur, you not only enjoy the creative process but will do what it takes to make those ideas come alive, and take pride in the end results. Deadlines don’t scare you. Neither does juggling. But tedium does.

Reports to: Director of Marketing and Membership

Responsibilities include:

1. Social Media
• Maintains the social media content calendar
• Schedules social media posts on Hootesuite
• Liaises with other departments to curate content
• Researches and designs images for social media
• Coordinates and tracks budget for paid media
• Reviews analytics and prepares weekly report
• Works with webmaster to review and report on web analytics as related to social media
• Live tweets at programs and events, as needed
• Trains other staff on social media
• Other tasks, as required

2. Marketing and Promotion
Marketing Schedule:
• Assists Director of Marketing and Membership with the implementation of the marketing plan and schedule
• Works to deadlines set for advertisements, mailings and email marketing for publications and membership promotions
Target Markets:
• Determines target markets for the distribution of marketing materials for member recruitment, member engagement, special events, fundraising and advertising.
Copy Writing:
• Assists with copywriting and editing for communications (email, print and social media) for a sophisticated audience
• Supports Graphic Designer with creative development for social media, email and print communications (including fliers, postcards, tickets, banners, dinner programs, etc)
• Coordinates ordering of print materials for events and promotions

Special Events:
• Assists with the preparation of promotional materials (signs, fliers, postcards, programs, etc.) for special events and off-site conferences
• Supports Special Events team at events as required

• Provides other assistance to Director of Marketing and Membership, as required

3. Sponsorship & Advertising
Relationship Management:
• Acts as key contact for all sponsors and advertisers. Coordinates all correspondence, contract preparation, invoicing, budget tracking, design and production of print materials and assistance with special needs/requests of sponsors/advertisers
• Ensures all sponsorship contract obligations are met by the Society at events and programs
• Assists with on-site sponsor management at select events

Relationship Development:
• Assists Director of Marketing and Membership with relationship development of potential sponsors
• Develops industry knowledge to identify potential sponsors and proactively promote suitable opportunities to new sponsors
• Maintains an accurate sponsorship opportunities deck
• Maintains up-to-date and accurate records of current and potential sponsors

4. Publications
• Supports the Graphic Designer with two monthly newsletters (Advocacy Matters and Keeping Tabs), including researching images, securing content from Society departments and members, and liaising with the editorial team and other contributors
• Assists newsletter editorial teams and the Graphic designer with content development, based on the Society’s calendar of events and the social media content calendar
• Assists Graphic Designer with layout of newsletter and email design as needed (in Adobe InDesign on Mac)

5. Advertising Sales
• Coordinates advertising bookings for The Advocates’ Journal, two digital newsletters and the career board.
• Prepares advertiser contracts
• Liaises with advertisers to ensure all deadlines and contract obligations are met, including sign off by advertisers on the final layout of their ads
• Maintains an up-to-date advertiser database
• Manages invoicing and maintains accurate records of all invoices for budget tracking
• Works with Graphic Designer to ensure Media Kit is up to date
• Determines target audiences for advertising promotions and develops promotional campaigns
• Tracks analytics for advertisers
• Liaises with printing houses and other service providers as required

6. Other
• Follows-up on all outstanding accounts for sponsorship and advertising bookings on a monthly basis.
• Assists at events out of office hours, as required
• Undertakes other assignments appropriate to his/her skill level, as requested by the Director of Marketing and Membership



• A diploma or degree in Marketing, Business, PR and/or Advertising
• Proficiency in Adobe Suite for Mac (InDesign, Photoshop, etc.)
• Proficiency in HootSuite and Mail Chimp (or other email products)
• Proficiency in Microsoft Office suite (particularly Excel, Publisher, Word, and Power Point)
• Highly developed interpersonal and verbal communication skills
• Strong written communication skills
• Exceptional organization and time management skills; ability to handle several projects simultaneously
• Excellent attention to detail and ability to maintain accurate records
• Proven customer relations skills with a sophisticated demographic
• Ability to work independently to meet targets and deadlines
• Willingness to flex work schedule in response to job requirements

• Sales/promotions experience
• Copywriting
• Experience in graphic and email campaign design
• Experience in a not for profit or membership organization
• Knowledge of relational databases and in particular, iMIS

Physical Requirements:
• Able to walk up two flights of stairs
• Keyboarding ability
• Able to see, hear, speak
• Able to lift packages of up to 25 pounds

• Internal: Society members, Board members, program chairs, staff.
• External: advertisers, vendors, sponsors, suppliers, professional directors at large law firms
