Administrator (Illegal Practice) Part Time

We’re the Alberta Association of Architects (AAA), and we administer the mandatory licensing of Architects and licensed interior designers in Alberta. For over 100 years, our organization has administered Alberta’sArchitects Act, ensuring the professionalism and integrity of architecture in Alberta. 

This position investigates instances of illegal practice (individuals posing as registered architects, for example), as the professional titles of AAA members are protected under legislation. If you’re looking for an opportunity to protect the public interest through investigating these kinds of cases, we want to hear from you!

Administrator (Compliance) 

In this role, your main duties will be to research and investigate suspected instances of illegal practice as well as to prepare, deliver and manage cease and desist correspondence. You’ll also provide administrative support to the Director of Regulatory Practice as it relates to the illegal practice portfolio.

Practically speaking, you will:

  • Determine illegal practice research objectives to create a plan of action
  • Use online resources/tools to research potential instances of illegal practice both proactively and reactively to find pertinent information 
  • Maintain detailed and organized evidence of findings, identifying common trends/patterns
  • Document, report, and present findings, and draft appropriate cease and desist correspondence when needed
  • Organize illegal practice files and follow up, including responding to emails or calls
  • Collaborate with the Practice Advisor and Registrar for complex cases
  • Maintain all actions per illegal practice file from open to close, and follow procedures throughout
  • Provide administrative support to others in the organization with projects as needed

Though you’ll have the opportunity to work autonomously as you research, manage correspondence, and maintain the database for cases of illegal practice, you’ll have the support of your direct supervisor when you need it for more complex cases.

Working with AAA:

This is a part-time position, offering18-23 hours per week, with flexible scheduling options during the week. You’ll earn a competitive hourly rate, commensurate with experience. Located in the historic Duggan House, our AAA office is an iconic site in Edmonton, Alberta.

Qualifications:

  • Post-secondary degree or diploma in office administration or similar
  • Experience working as an office administrator or similar administrative position
  • Strong professional writing ability, with experience in both drafting and editing documents
  • Intermediate/advanced proficiency in MS Office (e.g., Outlook, Word, Excel)
  • Any experience in regulatory affairs, paralegal, or the practice of architecture would be an asset
