Full-time Position


Working with the Practice Advisors and reporting to the Manager, Practice Advisory Services (PAS), the Project Coordinator, Practice provides quality support services to the Practice Advisors, Committees and Sub-Committees/Task Groups.  The Project Coordinator will also coordinate and carry out special projects/tasks as assigned Manager, PAS.


Qualifications and Skills

  • College diploma or university degree in project management, administration or an architectural program
  • Experience working in an architectural practice or a regulatory body will be considered an asset
  • Experience providing administrative support in a dynamic environment
  • Enjoys interfacing with members of the public and other related stakeholders
  • Experience in project management is an asset
  • Understanding of the design and construction industry and its various stakeholders
  • Proficient in Microsoft Office, Adobe Acrobat, coordination between multiple platforms/software packages
  • Ability in designing and maintaining project tracking tools
  • Experience in:
    • Graphic design and social media content creation
    • Scheduling
    • Producing presentations
    • Performing research
    • Creating and using templates (Word, Excel, etc)
  • Exceptional written and oral communication skills
  • Time management and organizational skills. Ability to prioritize their time and manage multiple tasks/deadlines
  • Attention to detail
  • Ability to work independently and in a team setting


Responsibilities include (but not limited to):


  • Provide general administrative support to the PAS team and committees including scheduling, tracking and triage of incoming calls or emails for the team
  • Support various projects and initiatives led by Practice Advisory Services team
  • Conduct specific projects or research including drafting of reports, Practice Tips/Regulatory Notices and other practice related resources
  • Administrate and lead the Practice Consultation Survey via online survey tool and assist the Manager, PAS in data analysis and coordinating initiatives based on data collected


This is a full-time position based out of the OAA Headquarters in Toronto, with a start date anticipated for December 20, 2021.  During the COVID-19 pandemic, OAA operations are being conducted remotely; it is expected that the successful candidate will also begin this position working from home.
