Education Coordinator - 15-month contract

Position Summary:

We are seeking an experienced, energetic and collaborative individual to fill the position of Education Coordinator.  You love working with people and have excellent interpersonal and communications skills, both written and verbal. You have an aptitude for learning new skills and technologies, and the ability to plan, prioritize and organize a diversified portfolio. You are capable and comfortable serving as technical host and communicating on camera for webinars in a professional manner.

You would  work with the education team to develop and deliver a full range of in person and online webinars, workshops, and core programs including our annual Convention, to managers and leaders in Ontario’s seniors’ care system.

Reporting to the Director of Education, the Education Coordinator provides support for all activities and project work in the education department.  This is a 15-month contract.

This position is responsible for the following:

  • Work collaboratively with the education to develop and deliver all Association virtual and in-person education sessions, including workshops, webinars, Convention, the Administrator Leadership Program, and the Long-Term Care Management Training Program.
  • Serve as the liaison with other Association departments to develop education sessions including content development, speaker leads, and other supports as required.
  • Manage the registration process for all events including setting up zoom webinars, creating IMIS database registrations, invoicing and refunds, posting education descriptions to the website, and delegate communications.
  • Coordinate all logistical aspects of webinar delivery including set up, rehearsals, technical support, hosting, and other tasks as required.
  • Set up and manage OneDrive folders and SharePoint access for registrants.
  • Collect slide decks and resource materials from speakers and convert it to PDF files to post to distribute to attendees.
  • Create housekeeping scripts and agendas for all webinars and workshops.
  • Collect and track data on the Association’s education sessions to support reporting to senior management.
  • Design and develop evaluations for all education events, as well as analyze and report on all evaluation results.  
  • Responsible for outreach and cross-promotion of the Association’s education offerings with allied organizations.
  • Provide logistical support and help facilitate member-service related webinars, including Corporate Partner meet and greets and commercial prospect webinars.
  • Provide logistical support for departmental membership committees (i.e., Commercial Advisory, Education Advisory, Convention Reviewers).
  • Support efforts to expand support and services to members. 

Other Responsibilities:

  • Provide exemplary customer service to Association members.
  • Provide support to ad hoc and Association-wide projects as needed.
  • Perform other duties as required

Education Experience & Competencies

  • Post-secondary education (college or university level).
  • Minimum two years of experience in either event planning or in a registration role.
  • High-level proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint) and Office 365/SharePoint.
  • Proven ability to learn new technology and software as needed, e.g., database (iMIS), digital marketing (Informz), videoconferencing (MS Teams, Zoom), Mentimeter, and other polling software.
  • Must be flexible and willing to adapt to changing priorities and demands; ability to assess priorities and manage multiple tasks and deadlines.
  • Superior organizational skills and ability to work under pressure.
  • Ability to maintain a high level of commitment to projects over the course of many months, as well as managing ongoing workshops/webinars.
  • Strong problem-solving skills and an aptitude for fine details.
  • A pro-active attitude and flexible team player
  • Exceptional and positive interpersonal and customer service skills.
  • Excellent written and verbal communication skills.
  • Comfortable and proficient working remotely.
  • Equally comfortable working independently, as well as collaboratively with others.
  • Good judgement, tact, and the ability to work with senior leaders within the charitable, government and business sectors.

Supervisory Responsibility

  • The Education Coordinator does not have direct reports but may have students or interns reporting indirectly to them.
  • The Education Coordinator is responsible for mentoring and coaching students and interns.

Location:

Due to the current pandemic, remote work is available.  This position may require occasional onsite and offsite work.  AdvantAge Ontario reserves the right to change to full-time on-site work at the Association’s head office at any time.
