Event and Marketing Coordinator

POSITION SUMMARY

Reporting to senior staff (CEO & COO), the Mechanical Contractors Association of Canada is currently seeking a highly-motivated and experienced professional to help execute and promote MCA Canada’s annual conference, industry events, web-based events and webinars, and business meetings. The Events and Marketing Coordinator will work closely with the MCAC team in the successful coordination, delivery and promotion of MCAC events throughout the year.

The Coordinator will be primarily responsible for event logistics and operations both on and off-site (depending on the nature and scope of the event), as well as other tasks as required.  

 

QUALIFICATIONS

 

  • Demonstrated experience in event planning and logistical support (In‐person & virtual): RFP creation, registration, hotel & A/V rate negotiation, ordering catering, BEO review and run of show creation etc.
  • Ability to manage and create event budgets
  • Minimum of 2 years of experience in a similar role or association environment.
  • University degree in a related field.
  • Understanding of new trends and developments in events, as well as the promotion and marketing of association events.
  • Exceptional written and oral communications abilities.
  • Experience working with volunteer Boards.
  • Proven experience in social media, event and website management (including but not limited online platforms such as Zoom etc.)
  • Experience in managing third-party firms and suppliers.
  • Ability work with multiple stakeholders with a range of interests.
  • Excellent time management and problem-solving abilities.
  • Strategic and forward thinking, with an ability to find solutions in a fast-paced environment

ASSETS

  • Knowledge of Canada’s construction industry and trade contracting sector.
  • Knowledge of design and production processes for print, web and multimedia.
  • Ability to communicate in both official languages.

KEY RESPONSIBILITIES

  • Organize all the logistical components for face‐to‐face meeting and events; such as RSVPs, locations and requirements; arranging A/V, room set‐up and catering; and reviewing related proposals, contracts and confirming invoices
  • Work with all staff and keep a running list of upcoming events to ensure there are no conflicts and liaising with communications to ensure they are listed on website and published in monthly newsletter
  • Coordinate as required the planning of Board meetings and Committee meetings
  • Plan and execution of promotional strategies concerning MCAC events
  • Manage online registration systems and on-site event communications
