Sports Turf Canada needs an organized, detail-oriented and technology experienced person to join our team and ensure our office, technology, and operating procedures function optimally and our members are kept up to date and receive high quality customer service.
Ideally, you will have experience:
- Managing in a dynamic, multi-tasking and constantly changing office environment
- Strong technological experience using such programs as Microsoft’s suite, Quickbooks, Google Drive, Canva, Paypal and an Email program
- Organizing, managing, and governing a variety of data with a strong attention to detail
- Effectively managing projects, resources, programs, and schedules
- Organizing, prioritizing, scheduling and altering information
- Writing dynamic communications, social media content and promotional material
- Demonstrating professionalism, diplomacy and effective time management
- Exercising initiative, judgement and problem solving with an ever-changing workload
- Working under pressure and meeting deadlines
- Being a collaborative team player with a positive attitude
- Operating in a not for profit environment
About Sports Turf Canada, located in Guelph, Ontario
Sports Turf Canada, a not for profit, educates and informs those in the sports field industry, offering communications, publications, courses and events. We take pride in collaborating with other organizations in the industry. For the past 35 years, we have ensured better, safer sports fields. Our members include municipalities, colleges/universities, school boards and industry suppliers. We are governed by a volunteer Board of Directors.
Job Duties
Administration
- Oversee mail, courier, packages and mailing requests along with supplies ordering
- Ensure the office flows smoothly and efficiently
Association Management System Administration
- Managing the System (Wild Apricot) which includes our membership database, communications, event/course programs and website content
- Handle the set-up and administration of events, courses and other programs
- Maintain membership database for accuracy and handle all member communications
- Create and make website content updates
Membership
- Manage annual membership fees invoicing procedure with a focus on retention targets
- Keep membership details up to date and create reports on current membership statistics
- Respond to member and potential member inquiries via email, phone or social media
Financials
- Ensure financial transactions are entered in Quickbooks, producing and distributing cheques, invoices, receipt and reports
- Perform collection and communications when necessary
Communications
- Creation, implementation and distribution of potential member communications
- Regularly communicate with those in the industry regarding STC activities, through e-blasts, social media, website and other communications
- Provide promotional pieces such as postcards, flyers, e-newsletters, etc
Assistance may be required on-site at events in Ontario, where possible. Other tasks may be assigned as defined by the Association’s annual strategic plan. This is a part-time position 9:00am to 3:30pm (1/2 hour unpaid lunch) Tuesday, Wednesday and Thursday, or as agreed. All employment conditions are in accordance with the Ontario Employment Standards Act. Our office is located in the University of Guelph and therefore we are subject to their mandates.
