About CAIS
Canadian Accredited Independent Schools (CAIS) is the national organization for exemplary independent schools. The small CAIS team of nine works remotely to support accreditation, research, professional learning and networking for schools across Canada and Bermuda.
We take great pride in offering top-level programs and support to member schools, so we are searching for a self-motivated team player with a strong work-ethic, a keen eye for detail, and exceptional communication skills to help support the success of our small and flexible team.
Summary of the Position:
Reporting to the Executive Director, the Projects and Office Coordinator will help the CAIS team meet their objectives through project management and general office support, including financial support (accounts payable/receivables). The Coordinator administers and oversees various IT and software tools (Adobe, Dext, GSuite, Quickbooks, Plooto, RingCentral, Slack, Wicket, Zoom etc. as well as Asana or Monday.com) to help the team meet the strategic objectives of CAIS, promote its vision, mission and values, and uphold its brand and standards. The successful candidate will balance strong financial/technical skills with a high EQ to support a very efficient and close-knit remote team.
Position Responsibilities
The Project and Office Coordinator role at CAIS has three distinct but interconnected areas of responsibility.
- IT Administration for Adobe, Microsoft, Google, Slack, Wicket, Zoom, and other software used by the organization for the smooth operation of productivity software as well as oversight of data privacy and security.
- CAIS Office and Projects Support, including implementing staff onboarding, training on project management software, staff meetings and retreats, and ensuring department budgets are planned and adhered to.
- Member Financial Support for our contract accounting service. This includes supporting our external bookkeeping and accounting firm and acting as a go-between the firm and our client schools, sponsors, partners and volunteers. This role also includes supporting our auditors and preparing tax paperwork.
The role is primarily remote (candidates from across Canada are invited to apply) but will occasionally require travel within North America. Some weekend work is required.

Specific Accountabilities Include:
- Be responsible for maintaining IT and database services/support for the organization
- Facilitate the use of project management software to ensure cohesion and alignment between different departments within CAIS
- Act as the data privacy officer for the organization
- Collaborate with staff to ensure adherence to department budgets as well as timely processing of payables and receivables
- Organize remote and in-person staff meetings and retreats to support the goals of CAIS
- Act as the point person for insurance, tax and audit services
- Serve as the primary contact for financial inquiries from schools and partners
- Maintain positive working relationships with partner organizations
Skills, Experience and Attributes Include:
- Minimum 3 years experience in areas aligned with the role, preferably in a not-for-profit or education setting.
- Strategic thinking, initiative, and self-discipline in a virtual workplace
- Project management expertise, including budget forecasting, the ability to prioritize, attend to detail and accuracy and meet tight timelines
- Proficiency in IT administration, financial software (e.g. Quickbooks, Dext, Plooto) as well as Google-based programs (G-Suite), particularly in the use of spreadsheets and cloud-based software applications, including project management software
- Excellent interpersonal skills, professional manner, and customer-service orientation
- Superior communication, writing, and editing skills
- Proficiency in generating, analyzing, and interpreting data within a tech-driven setting.
