MEMBERSHIP AND DONOR RELATIONS MANAGER

POSITION SUMMARY

Your main objective will be to retain and grow membership, secure renewals, increase participation in programs, guiding member benefits to increase member satisfaction and effectiveness of programs. You will liaise with existing donors, bring new and creative ideas for coordinating donor stewardship activities.

Responsibilities include developing new initiatives to support the strategic direction of the organization in growing and retaining membership and donors, developing member affinity benefits and program guidelines to increase members’ use of tools, resources and opportunities, leveraging and educating staff on the capabilities offered of the CiviCRM membership database.

Job / Position Description

 

Position Title:            Membership and Donor Relations Manager

Location:                    Ottawa, Ontario

Reports to:                 Executive Director, National

EMPLOYMENT CONDITIONS

  • Full time position. On contract, with renewal on a yearly basis.
  • Salary is commensurate with experience and qualifications $49,000 to $60,000
  • The selected candidate’s performance will be evaluated after the completion of a three-month probationary period.

QUALIFICATIONSKnowledge / Experience / Key Skills:

  • Certificate in association member services, or post-secondary diploma with not-for-profit management or equivalent experience.
  • Minimum 2-years relevant experience in a not-for-profit association or business, within membership services, donor programs, customer relations, or working within a development office.
  • Must have excellent understanding of and demonstrated experience with CiviCRM (or similar database). Excellent experience and proficiency in Microsoft Office applications (Word, Outlook, Excel, and PowerPoint) and understanding of online fundraising and promotion tools.
  • Excellent oral and written communication skills with a strong attention to detail.
  • Ability to develop ideas and create new opportunities for the organization, take initiative, identify the need for and take independent action within a team environment.
  • Strong interpersonal, customer service, problem solving and planning skills, strong time management skills, ability to establish priorities and work under pressure to meet deadlines.
  • Ability to build rapport and credibility with staff and volunteers, potential members and donors along with ability to meet annually agreed-upon member and donor recruitment and revenue targets.

ADDITIONAL CRITERIA

  • Bilingualism is a strong asset.
  • Candidates must legally be entitled to work in Canada.
  • Able to work evenings and weekends as required. The position will require occasional travel.
  • Knowledge of Canada Revenue Agency guidelines and issuing of charitable tax receipts.
  • Support for official languages and promoting a bilingual Canada. 

 

KEY RESPONSIBILITIES

A. Membership Services and Benefits

  • Working collaboratively with the Executive Director, plan and direct the stages of the membership development process including the collection, monitoring and interpretation of member and non-member intelligence, the membership renewal and retention process, membership benefits and communications, member satisfaction and member training programs.
  • In collaboration with Branches and the Executive Director, initiate creative membership / donor retention and recruitment (R&R) campaigns, setting specific targets, implementing activities and evaluating the results against the established targets, ensuring these are coordinated with activities within the CPF Branches.

 

  • Liaise with CPF Communications and Volunteer Support Staff to integrate individual member and donor campaigns across digital platforms; draft and deploy persuasive communication messages such as pre-recorded phone messages and emails, marketing and promotional collateral on relevant digital platforms (e-blasts, web content) and social media.

 

  • Perform an annual membership audit. Prepare, coordinate and deploy surveys, polls and/or focus groups in order to monitor, provide analysis, present reports and evaluate program results, usage and effectiveness of member offerings, assess member and donor satisfaction and follow up by reporting and presenting results to inform the Board of Directors.

 

  • Develop relationships with Branch staff, and volunteers recruited to assist with data processing, respond promptly to enquiries for support and liaise on member data transfer and fields, coordinate regular meetings, create training sessions via electronic means to assist them in successfully fulfilling their roles in membership retention and recruitment.

 

  • Lead a monthly meeting with National staff by sharing a progress report and by generating new ideas to reach identified goals and targets in the member / donor stewardship process. Recommend strategies to increase long-term supporter value, to drive constant improvement in supporter retention rates.

B. Database Management and Reporting

  • Pro-actively manage member and donor lists. Coordinate member / donor mailings and shipments. Prepare accurate data files with appropriate segmentation for direct mail campaigns, liaises with direct marketing company regarding fulfillment of clerical activities.

 

  • Manage and ensure the integrity, accuracy and timeliness of all data within the CiviCRM member database including but not limited to: member / donor contact information, program participation, online purchases, and gift/receipting information. Guide the full usage of the database to generate appropriate reports and accurate records and coordinate data entry, and data clean up.

 

  • Create necessary links and coding within the database for quick access to campaign results and to facilitate speedy production of a variety of database and /or spreadsheet queries and reports.

C. Donor Relations and Stewardship

  • Create a donor stewardship plan, developing standards and timelines for donor acknowledgement, ensuring stewardship activities are executed in accordance with the plan. Coordinate donor stewardship activities and prospect identification for fund development. 
  • Ensure accurate and timely processes and procedures for the intake, recording, receipting and acknowledgement of donor gifts and sponsorships, ensuring CPF complies with CRA requirements and providing acknowledgement and tax receipt to donors within 3-5 business days.
  • Identify prospects through the data entry process, bringing names forward for follow up. Conduct external research on prospective foundations and identify prospects for review.
  • Liaise with Director of Operations to designate all charitable donations appropriately, reconcile any discrepancies between fund information in database and the general ledger, ensuring accuracy of donor and monthly gift information.
