About the position

Reporting to the CSEP Manager, and working closely with staff, members, and volunteers, the Information Technology and Logistics Coordinator will provide support toward fulfilling CSEPs technology and administrative infrastructure requirements. He/she will be a team leader in customer service, data management, and clerical/communication support. A can-do attitude, flexible and positive approach to tasks and people, and customer-focused mindset are vital in this role. The coordinator will be part of a small and inter-reliant staff team that works together to ensure the quality and timely delivery the Society’s services and events.

The position’s main duties are:

  • Oversee the Information Technology infrastructure of the Society including the networked environment, computer hardware and software, internet and telephone systems
  • Track and manage all CSEP assets: computers, laptops, printers and associated software licenses, domain names, accounts
  • Maintain CSEP corporate email server and accounts
  • Monitor and implement upgrades, renewals and updates as required
  • Liaises with the IT support company and telephone system providers to establish systems for new employees and maintain systems for existing employees, troubleshooting any issues that may arise
  • Liaises with CRM company and related programmers on the development, implementation and maintenance of the Society’s integrated management system
  • Database support to several in-house and online databases and directories: Configuration, layout and updates, Analysis and troubleshooting, Import/export, Scripting, User training
  • Ensure office efficiency by ensuring the availability and operability of equipment and supplies, researching maintenance, replacement or improvement options and proposing solutions
  • Website support to up to four CSEP sites and online store (Shopify)
  • Other tasks as may be requested from time to time e.g., basic graphic design and layout

Your skills, qualifications and abilities

The successful candidate will be/have:

  • Fluent in spoken and written English, with strong interpersonal communication skills
  • Three or more years of related or foundational work experience
  • Experience using MS Office suite (Word, Excel, PowerPoint)
  • Experience using databases, customer relationship management systems
  • Process-driven and highly organized, yet resourceful, creative and flexible
  • Able to prioritize tasks and pay attention to detail
  • Continuously seeking better ways to do the job
  • Demonstrate analytical capabilities with strong problem-solving skills
  • Excellent organizational and multitasking skills including the ability to carry out required duties in a detailed, methodical and thorough manner
  • Good verbal and written communication skills
  • Tact, diplomacy and flexibility in dealing with people in a variety of roles
  • Ability to work as part of a team in a diverse environment
  • Excellent knowledge of technical systems, particularly computer hardware, software and interfaces sufficient to be the Society’s expert on technical systems.
  • Assets:
    • Previous experience in the not-for-profit sector
    • Abilities in spoken and written French
    • Experience with using the Filemaker platform
    • Familiarity with Adobe Creative Suite apps
    • Working knowledge of HTML, WordPress, CSS
    • Experience creating training presentations and user manuals

Position compensation and other final details

This is a full-time position parental leave replacement (part-time is an option) with a salary of $24-28/hour depending on qualifications , plus a comprehensive benefits package, paid annual leave, a pension contribution matching program, and more. This salary and benefits are offered in exchange for an up to 7.5 hour workday (e.g. 8:30-4:30 or similar), Monday to Friday. Travel and overtime/weekend work may be required once or twice per year.
