Member Experience and Institute Services Coordinator

The Supply Chain Management Association (SCMA)™ is Canada’s largest association for supply chain management professionals. In partnership with provincial institutes, SCMA™ sets the standards for excellence and ethics, and is the principal source of professional development and accreditation in supply chain management in Canada.

Currently we are in search of a multi-tasking, self-starting, detailed-oriented individual to join us as our Member Experience and Institute Services Coordinator. This role requires a well-rounded individual with exceptional experience in customer service, relationship management and event planning. 

What You’ll be doing:

Reporting to the Director, Finance and Administration, your primary function will be to administer new and existing SCMA member services and programs.

Working with a variety of internal teams and portfolios, your support will be critical in ensuring that SCMA members are informed, engaged and consistently getting value from our programs and services.

Your role will involve:

  • Managing the membership application and renewal processes (including member onboarding through calls and emails)
  • Maintaining the membership database to ensure accuracy and completeness of member information
  • Working with our provincial institute staff and volunteers and with other staff in the National Office, on developing and implementing strategies to recruit new members as well as engage and retain the existing members
  • Compiling and analyzing reports on membership composition and trends
  • Serving as a member advocate to improve the overall customer experience
  • Planning, administering and implementing multiple events and projects for SCMA Institutes including but not exclusive to:
    • Administrating the professional programs (contract negotiations with venue, A/V, speakers, room setup, etc.)
    • On-line Registration
    • Marketing and promotion
    • Support onsite representation
  • Establishing and maintaining relationships with various stakeholders as business partners, event sponsors, volunteer Institute Boards / Committees as well as staff in the designated Institute
  • Managing and providing administrative support to the volunteers
  • In conjunction with the Finance Team, assisting in the preparation and execution of an annual operating plan ensuring all standards and policies are adhered to
  • Assisting in the preparation of a detailed budget analysis for each event/activity
  • Developing and maintaining an annual events calendar
  • Collecting and reporting member feedback on SCMA programs and events.
  • Participating in additional projects and assignments as required.

Requirements & Qualifications:

  • Strong customer service experience (preferred within a membership-based organization)
  • Post-secondary education (university degree or college diploma – business or marketing would be an asset)
  • Minimum 2-3 years of membership services and event planning experience
  • Tech-savvy: Proficiency with Microsoft Office Suite programs and experience with association management software (e.g. MPower) and social media applications
  • Experience working with volunteers and with individuals from a variety of regions in Canada
  • Organized and meticulous with relentless attention to detail; ability to multi-task
  • Presents a professional, polished image in representing SCMA
  • Works well under pressure and able to meet deadlines
  • Team player mindset and willingness to collaborate
  • Preferred seamlessly bilingual – verbal and written (English and French)
  • Some travel within Canada may be required

Working at SCMA:

SCMA operates a virtual office. This position allows for the flexibility of working from home from anywhere in Canada with monthly team meetings held in Toronto.
